The Facility Service Coordinator plays a vital role in supporting the administrative and operational functions of ACOG’s facilities team. This position is responsible for managing vendor relationships, overseeing contract compliance, and maintaining accurate documentation in alignment with ACOG policies. The coordinator will handle invoice processing, ensure smooth execution of facility-related services, and assist with onboarding new employees. The ideal candidate is highly organized, detail-oriented, and possesses strong communication skills, thriving in a dynamic, service-driven environment.

Vendor & Contract Administration
• Coordinate the full lifecycle of service contracts, from initiation through renewal or termination.
• Work in collaboration with the facilities and office services team to initiate new contract review and develop an efficient process to reduce delays.
• Track and manage pending contracts, invoices, proposals, statement of work agreements.
• Serve as the primary liaison between the legal and facilities team to ensure contractual obligations are met.
• Communicate, provide necessary updates on contract status.
Administrative Support & Recordkeeping
• Maintain accurate records of all vendor contracts, service agreements, insurance certificates, and related compliance documents.
• Manage digital and physical filing systems for facilities-related records.
• Prepare reports on contract status, service performance, and budget tracking as requested.
• Process invoices and coordinate with accounting to ensure timely vendor payments.
• Assist with onboarding new employees by preparing new badges
• Fulfill requests for lost or replacement badges.
Compliance & Policy Support
• Monitor adherence to internal policies and regulatory standards related to facility services.
• Coordinate routine reviews of compliance documentation (insurance certificates, licenses, inspection reports).
• Assist with updating facility-related policies and procedures as needed.
Required Skills/Abilities:
• Proven experience in contract administration, office administration, or related roles.
• Familiarity with vendor management and procurement processes.
• Strong organizational, recordkeeping, and project coordination skills.
• Excellent attention to detail and ability to manage multiple priorities.
• Strong communication and interpersonal skills.
• Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and/or contract management tools.
Education and Experience:
• High school diploma or GED required; Associate’s or Bachelor’s degree in Business Administration, Public Administration, Facilities Management, or related field preferred.
• 2–4 years of relevant administrative, contract management, or vendor coordination experience preferred.
• Experience in a nonprofit or mission-driven organization is a plus.

Compensation
The base salary for this position is $46,000 - $52,000 per year, commensurate with experience and qualifications. In addition, ACOG offers a comprehensive benefits package that includes the perks outlined below.
