Overview

The Editorial Assistant plays a crucial role in supporting the editorial office by providing comprehensive administrative assistance. This position involves aiding the Associate Editors with various administrative tasks and the review of manuscripts. The ideal candidate will be detail-oriented, organized, and capable of managing multiple responsibilities in a fast-paced environment.

Note: This position is considered Hybrid and will need to commute to ACOG's office located in Washington, D.C.

Responsibilities

  • Provide administrative support in the editorial office by
    • Serving as the departmental contact and responding to routine phone and email inquiries
    • Respond to or forward email messages in the obgyn@greenjournal.org and em@greenjournal.org accounts as needed
    • Process daily mail, and coordinate special mailings and distributions as needed
    • Procure supplies and reference materials as needed
    • Complete web-related tasks as assigned
    • Maintain list of reviewers
    • Provide general administrative support to the Managing Editor, assist with special projects, and perform other duties as assigned
    • Provide backup for other staff as needed
  • Process and track manuscript submissions which include
    • Evaluating manuscript submissions for completeness and conformity with journal policy and double-anonymized peer review
    • Track Editor and Editorial Board COIs and assign accordingly
    • Assign new submissions to Editors and departments to staff daily; reformat manuscripts to include line numbering and other formatting outlined in the Instructions for Authors.
    • Assign and track manuscript review by Editorial Board members
    • Assist designated Editor(s) with assigned submissions:
      • Input reviewers in Editorial Manager after assignment
      • Assign appropriate reviewers and alternate reviewers to manuscripts as needed; remove extra reviewers after a manuscript has the required amount
      • Contact delinquent or non-responsive reviewers daily
      • Send manuscripts for statistical review
      • Double check editor checklist to see if any standard paragraphs need to be
        included in the revision letter; send manuscripts for statistical review,
        video/podcast evaluation, and art review
      • Assemble material for the Editors’ Conference Call and distribute to Editors via
        email on a weekly basis
      • Complete a plagiarism check on all potentially acceptable manuscripts, and
        coordinate with the authors to resolve any issues
      • Complete a figure check on all potentially acceptable manuscripts, and
        coordinate with the authors to resolve any issues
      • Work with authors to resolve any editor queries or issues that arise prior to
        preparation of manuscripts for transmittal
      • Send correspondence via Editorial Manager after decision (rejection letters and
        revision letters)
      • Log correspondence with authors in Editorial Manager “history”
    • Maintain Clinical Expert Series
      • Track assignments and follow-up with authors as needed
    • Maintain tracking sheet and inform Managing Editor of status on a regular basis
  • Assist designated Editor(s) with the following functions:
    • Draft correspondence
    • Review and edit editorials
    • Arrange business travel and reimbursements
    • Provide support for the Editor(s) in other areas of involvement as needed

Qualifications

Required Skills/Abilities:
• Strong verbal and written communication skills
• Ability to work independently; detail oriented and well organized

 

Education and Experience:
• Administrative experience, including computer skills and knowledge of Microsoft Office suite
(Word, Excel, and PowerPoint) and Adobe Acrobat
• Education in English or journalism helpful

Compensation

The base salary for this position is $50,000 - $56,000 per year, commensurate with experience and qualifications. In addition, ACOG offers a comprehensive benefits package that includes the perks outlined below.
