     The College is currently seeking an Executive Assistant to provide administrative support to the Chief Legal Officer, Deputy General Counsel, Associate General Counsel, Staff Attorney, Paralegal, and the College’s Grievance and Appeal Committees, while maintaining extreme confidentiality.

    Responsibilities

    • Perform the division’s administrative activities, including: schedule meetings, sort and distribute mail, respond to routine letters and inquiries, handle telephone communication, maintain and update Division calendar, and order office supplies
    • Handle travel arrangements and expenses for Chief Legal Officer, Deputy General Counsel, and Associate General Counsel
    • Responsible for tracking and ensuring the timely delivery of highly confidential correspondence to Grievance Committee and Appeals Panel Committee members, as well as Fellows involved in grievance complaints
    • Provide administrative support to the Grievance and Appeals Panel Committees, including responding to routine requests for information, coordinating committee meetings, hearings and appeals, and handling travel arrangements and related expenses for committee members Responsible for destroying grievance and appeal committee material as required for record retention
    • Maintain, update, and keep an accurate record of the Legal Division files, master file of College corporate documents, and other important documents housed in Legal Division safe
    • Respond to Fellows’ requests for routine information that do not require legal consultation
    • Coding of Division invoices. Serve as point of contact for vendors and suppliers, as well as the Accounting Department for the Legal Division budget. Ensure all invoices are paid appropriately and in a timely manner. Track invoice expenses against the Division’s budget
    • Provide other assistance and support to the General Counsel, Deputy General Counsel, Associate General Counsel, Staff Attorney, and Paralegal, as needed
    • High School Diploma Required; College degree preferred
    • Minimum of three years of experience providing executive administrative support
    • Excellent organizational and communication skills.
    • Strong skills in Windows, including Word, Excel and PowerPoint.
    • Ability to work both cooperatively as well as independently; ability to prioritize tasks effectively.
    • Ability to maintain confidentiality of information.
    • Previous administrative assistant experience required.  Experience with legal documents and terminology desirable.
